Greetings! Our Robinson Roots Family & Friends:

This second communication is to inform you that plans are in high gear for our 47th Annual Family Reunion to be held at the Hilton Albany, Albany, New York. The festivities will begin Friday, August 30th and continue through Monday, September 2, 2024.

This second letter is to provide you with some updates and reminders of deadlines for we do not want you to miss the exciting and fun-filled activities planned for our 47th Reunion.

Our Theme for this year’s 47th Reunion, “WHEN WE HAVE EACH OTHER, WE HAVE EVERYTHING”, we hope to emphasize and demonstrate these sentiments throughout the Reunion weekend. The theme is taken from Ephesians 4:32 (KJV) which states: “And be ye kind one to another, tenderhearted, forgiving one another, even as God for Christ’s sake hath forgiven you.”

First, please make your hotel reservations for our 47th Reunion by July 24, 2024. Use our RRFR, Inc reservation link: https://www.hilton.com/en/attend-my-event/robinson-roots-family-reunion-2024/. You can also guarantee your hotel room with a credit card or first night room deposit by calling the hotel at 1-800-HILTON or 1-866-691-1183.

Ask for our group “Robinson Roots Reunion” special rate code “4RRFR”. The Hilton Albany charges a $75 per night incidental fee to your credit card (returnable) upon check-in. Reunion room rates are available 2 days prior and after the Reunion events. Parking is $10/night at the onsite garage.

Second, submit your registration, meals, T-shirts, and other fees by July 24, 2024 to Tyrone Davis by mail (Money Orders Only) or by Zelle to NY Chapter (646) 372-5922, Torrance Davis (ensure to include what you are paying for and # in Zelle comments). Also, you can pay for Buffet Breakfast vouchers for $24/person/day. Include with all meal monies.

Third, encourage all our Youth to participate in our RRFR DRD Scholarship opportunity by submitting essays by August 23, 2024 to Charles Robinson, President Emeritus by mail or email to chas1915@gmail.com (ensure to state in Subject: ‘2024 RRFR Scholarship App’). Also, be prepared for our Elections 2024 to fill the ‘President’ and ‘Assistant Secretary’ positions at our annual Family meeting.

Fourth, come prepared to have an inspiring, uplifting, educational, competitive and fun-filled time as we are planning activities throughout the weekend in efforts of having enriching, motivational, and loving time as we grow as a Family. Below are some activities to look forward and prepare for:

This is a super opportunity for our Youth to share their thoughts, but also an opportunity for the Family to learn more about them. Parents support and work with our Young family members to take advantage of this Scholarship opportunity.

The New York Chapter of the Robinson Roots Family Reunion (RRFR), Inc is once again honored to host our 47th Annual Family Reunion at the Hilton Albany in downtown Albany, the capitol of New York State. The festivities begin Friday, August 30th and continue through Monday, September 2, 2024.

Through God’s grace, we continue to be blessed as a Family, and we pray all will continue to be a ‘blessing’ to someone else. We, the New York Chapter chose as a Theme for this year’s 47th Reunion:

The inspiration for the theme is taken from Ephesians 4:32 (KJV) which states: “And be ye kind one to another, tenderhearted, forgiving one another, even as God for Christ’s sake hath forgiven you.” For this Reunion, we are planning events and activities centered on our theme to include all attendees, so we highly encourage you to bring your Youth and be prepared as well to participate and contribute to the Reunion experience.

"ELECTION 2023" RESULTS, ISSUES, CONCERNS, & INFORMATION

Season’s Greetings Robinson Roots Family Reunion, Inc. (RRFR, Inc.) Family:

We, the RRFR, Inc. Executive Board, thank all who were able to attend our 46th Annual Family Reunion held September 1 – 4, 2023 in Milford, Connecticut. We are especially proud of our Connecticut Chapter for hosting and arranging a very successful, interactive, and spirit-filled Reunion.

We are providing this communication to inform all Family members of the ‘Election 2023’ results for the 2023 designated officer positions for re-election, and any associated issues, concerns, or problems uncovered. This was the first year we implemented this new process for ‘Elections’ and we wanted to be transparent with our findings. ‘Elections’ will be held at each Reunion, so we want to ensure the election process is suitable and fair to all Family members.

We also thank all who shared and expressed their thoughts, opinions, feedback and suggestions during the Family meeting for improvements to our ‘Election’ process. We heard all clearly that we should improve our communications to inform the Family prior to the ‘Elections’.

‘ELECTION 2023’

For our 46th Reunion, there were three (3) positions designated for re-election, the President, Vice President, and Assistant Secretary positions.

· June 2023 - Nomination forms and the election process were provided to the Family and Chapters.

· August 2023 - Nominations were received by the extended deadline of August 2.

· August 2023 - Election Review Committee (ERC) met August 16th, reviewed all nominations, and presented them to the Executive Board.

· August 2023 - Executive Board contacted all nominees to determine their acceptance of the nomination, completed August 26th.

· September 2023 - The following nominees were submitted to the Family at the Family meeting for the designated officer positions for re-election:

President - Charles Robinson

Vice President - Dr. Tracy Becoat

Assistant Secretary - None (nominees did not accept)

At the Family meeting (September 3, 2023), the Election Process, Standing Voting Rules and the Election Form were provided to Family members present prior to the election voting. Discussions were also held prior to the election to address concerns and understand the process. Election results were as follow:

President - No selection (vacant till next year)

Vice President - Dr. Tracy Becoat

Assistant Secretary - No nominees (vacant till next year)

The Executive Board was informed during the Sunday close-out meeting that a nomination form was submitted but was not received by the Election Review Committee or Executive Board that included additional nominees for the designated officer positions. An investigation was conducted into the missing nomination form. Results found the nomination form was emailed to the Executive Board (EB) contact person, but the EB contact person found no evidence of receipt of the missing nomination form. Either the missing nomination form was accidentally deleted, incurred a technological issue with email, or lost due to transmission problems were possibly causes for the missing nomination form.

After review of the investigative findings, the Executive Board agreed to include those nominees from the missing nomination form for the ‘Election 2024’ process. Also, recommended changes to the ‘Election’ process will be made as well to ensure all nomination forms submitted are received and considered.

In efforts to provide more clarity to the ‘Election’ process and to review the ‘Election 2023’ results and the missing nomination form, we are arranging two (2) RRFR Family Zoom calls. We highly encourage and invite all Family members to attend one of the scheduled meetings. We will also provide additional information about our 47th Reunion as well as other pertinent Family information. The two dates for the Family Zoom calls are:
