As per out RRFR, Inc. By-Laws, one quarter (1/4) of the Executive Committee officers are to be nominated and elected every Reunion year to serve four (4) year terms. Since elections will be conducted every year, this section will be updated annually.




RRFR, INC. NOMINATIONS and ELECTIONS for the 2025 REUNION

 

As stated in the Robinson Roots Family Reunion, Inc. (RRFR, Inc) By-Laws and approved by the Family, every year, one quarter (1/4) of the Executive Committee officer positions will be considered for election to serve four (4) year terms.  

 

Per our ‘RRFR, Inc Officer Rotation Schedule’, the following positions are to be considered for election for the 2025 Reunion year.  Also, due to the unexpected passing of our Treasurer, the Treasurer position is up for election as well.

 

The “Executive Committee Officers Nomination and Election Process” procedure, approved by the Family in 2022, provides guidance for the nomination and election of Executive Committee Officer positions.

 

The following Executive Committee positions below are designated for election at the 49th Annual Family Reunion to be held in Philadelphia, Pennsylvania during the ‘Family Meeting’ on August 31, 2025:

To nominate any eligible family member for any of the three (3) positions, please use the ‘Executive Committee Nomination Form’ found below and as provided on this website.  

 

Submit all nominations to the RRFR, Inc. Parliamentarian, Bertha Joshua by email (bj6143@yahoo.com) or send by mail to (2599 Garrisonville Road, Stafford, VA 22556 ATTN: RRFR, Inc ELECTION ’25) by June 30, 2025.

Additionally, the Executive Board will establish an ‘Election Review Committee’ to ensure all nominations submitted meet the minimum qualifications and criteria for the positions as well as monitor the Election process during the voting process.  

 

The ‘Election Review Committee’ will consist of a representative from each State chapter in which 50% must not be a member of the Executive Board.  State Chapter Presidents will submit a representative to participate on the Election Review Committee.  All information is provided on this RRFR, Inc. website https://rrr1977.myevent.com.

EXECUTIVE COMMITTEE NOMINATION FORM

 

The Robinson Roots Family Reunion, Inc. By-Laws require that one quarter (1/4) of the Executive Committee officers be nominated and elected each year for four (4) year terms.

 

Per our ‘RRFR, Inc Officer Rotation Schedule’, the positions 1) Vice President and 2) Assistant Treasurer are to be considered for election for the 2025 Reunion year. Due to the unexpected passing of our Treasurer, the 3) Treasurer position is up for election as well.

ROBINSON ROOTS FAMILY REUNION, INC

EXECUTIVE COMMITTEE OFFICERS NOMINATION AND ELECION PROCESS

 

The "EXECUTIVE COMMITTEE OFFICERS NOMINATION AND ELECTION PROCESS" document (approved 09/2022) provides the guidance and specifics for the nomination and election of RRFR, Inc. Executive Committee members in accordance with the By-Laws.
 

The Robinson Roots Family Reunion, Inc. (RRFR, Inc.) is a nonprofit 501(c)(3) organization that is wholly dedicated to the purpose and goals of supporting our family unity, growth, diversity, development, and fellowship.  As outlined in our RRFR, Inc. By-Laws, the governance and oversight of the organizational affairs are the responsibility of the Executive Board which consists of the Executive Committee, who are family members elected for officer positions and State Chapter representatives. 

 

As per the By-Laws, one quarter (1/4) of the Executive Committee officers are to be nominated and elected each year for four (4) year terms.  The process below provides the procedure and specifics for the nomination and election of RRFR, Inc. Executive Committee members in accordance with the By-Laws.
 

NOMINATION

The President or designee will announce at the annual Family meeting, the Executive Committee positions designated for election at the next scheduled Reunion.  The host chapter or Executive Board if hosting will include in the first correspondence, the Executive Committee positions designated for election along with the job duties and responsibilities.

 

The host chapter or Executive Board if hosting will include in the second correspondence the RRFR, Inc. ‘Executive Committee Nomination Form’ along with details and deadline for submission.

 

The Executive Board will designate a central contact for receiving nominations based on the positions designated for election to be included also in the second correspondence.
Nominees must meet eligibility and qualifications requirements for Executive Committee positions.

 

Eligibility for Executive Committee positions is found in the RRFR, Inc By-Laws under Article III, “Membership”.  Direct descendants and their families are eligible for Executive Committee positions.

 

Qualifications for Executive Committee positions are found in the RRFR, Inc. By-Laws under Article VII, Section 3. “Qualifications”.

 

Any eligible and qualified Family member can ‘self-nominate’ for any of the designated officer positions open for election.

 

The Executive Board will establish an ‘Election Review Committee’ to ensure all nominations submitted meet the minimum qualifications and criteria for the position.

 

The ‘Election Review Committee’ will consist of a representative from each State chapter plus either the President or one of two Vice Chairs if their positions are not designated for election during that election year for a total of five (5) members on the ‘Election Review Committee’.
50% of the state representatives must be non-Executive Board members.

 

Election Review Committee members can serve no more than two (2) consecutive years on the Committee.

 

All ‘Executive Committee Nomination Forms’ will be provided to the ‘Election Review Committee’ prior to their meeting.  Decisions on eligibility and qualification for open Committee positions will be determined by majority vote of the Election Review Committee.

 

The ‘Election Review Committee’ will meet by conference or virtual call and submit all eligible nominees for each position to the Executive Board no less than four (4) weeks prior to the Reunion.

 

If no nominations are received, the Executive Board will consider nominations.
 

 

ELECTION

 

Upon receipt of eligible nominees for Executive Committee positions designated for election by the ‘Election Review Committee’, the Executive Board will notify candidates of their nomination.

 

Candidates must respond to the Executive Board within one week whether they are interested in serving in the position.

 

Upon confirmation of nominees’ interest to serve in the positions, the Executive Board will send notice to the Family of positions designated for election as well as the eligible nominees before the annual Reunion.

 

The Executive Board will introduce the nominees for the elected positions at the annual Family Saturday Banquet.

 

Elections will be held during the annual Family meeting on Sunday.  All nominees should be present if possible.

 

Elections are governed by the RRFR, Inc. By-Laws and ‘Standing Voting Rules’ as appropriate.

 

Elected officers will serve a four (4) year term.
 


Election Review Committee
 

 

INTRODUCTION:  As stated in the Robinson Roots Family Reunion, Inc. (RRFR, Inc) By-Laws and approved by the Family, every year, one quarter (1/4) of the Executive Committee officer positions will be considered for election to serve four (4) year terms.  Also approved by the Family at the 2022 Reunion, the nomination and election of Executive Committee Officer positions will follow the new “Executive Committee Officers Nomination and Election Process” procedure for all future nominations and elections of Executive Committee positions.

 

 

In compliance with the adoption of the “Executive Committee Officers Nomination and Election Process”, the Executive Board will establish an ‘Election Review Committee’ (ERC) to ensure all nominations submitted meet the minimum qualifications and criteria for the position being considered for election.

 

 

ERC CRITERIA: The ‘Election Review Committee’ will consist of a representative from each State chapter plus either the President or one of two Vice Chairs if their positions are not designated for election during that election year for a total of five (5) members on the ‘Election Review Committee’.

 

  • 50% of the state representatives must be non-Executive Board members.

 

  • Election Review Committee members can serve no more than two (2) consecutive years on the Committee.

 

All ‘Executive Committee Nomination Forms’ will be provided to the ‘Election Review Committee’ prior to their meeting for review.

ERC DUTIES & RESPONSIBILITIES

 

Decisions on eligibility and qualifications for open Committee positions will be determined by majority vote of the Election Review Committee.

 

  1. The ERC will meet by conference or virtual call to review all nominations submitted for the current election cycle.
  2. The ERC will refer to the duties and responsibilities for each officer’s position as outlined in the RRFR, Inc By-laws and other applicable expectations as approved by the Executive Board.
  3. All ERC members are expected to participate in the review of all nominations to determine eligibility and qualification for the office nominated.
  4. If an ERC member must excuse, remove, or discontinue participation on the ERC, the Chapter President will nominate a replacement.
  5. The ERC will submit all eligible nominees for each position to the Executive Board no less than four (4) weeks prior to the Reunion.

 

ERC ROLE DURING ELECTION & VOTING PROCESS:

 

The Standing Voting Rules Document (SVRD) provides the guidance, eligibility, and rules for Voting in the election of Robinson Roots Family Reunion, Inc. officer positions to ensure consistency and fairness for all potential candidates.

 

  1. The RRFR, Inc. Parliamentarian along with the ‘Election Review Committee’ shall serve as “Monitors” during the election and voting process.
  2. ERC members will be eligible to participate in the voting proceedings.
  3. Voting Members participating by electronic communications are eligible to vote and will notify the Parliamentarian or members of the ‘Election Review Committee’ during the Voting Process.
  4. Collection and counting of ballots will be governed by the RRFR, Inc. Parliamentarian and the Election Review Committee. (Note: When the Parliamentarian position is to be elected, the Chair of the Voting Process or President designee will perform duties of the Parliamentarian).

STANDING VOTING RULES (SVR) 

 

The "STANDING VOTING RULES (SVR)" document (approved 03/2023) outlines the procedure for the proper conduct of RRFR, Inc. elections.  The document also provides the guidance, eligibility, and rules for 'Voting' in the election of Robinson Roots Family Reunion, Inc. officer positions to ensure consistency and fairness for all potential candidates.


 

VOTING MEMBERS:  Includes all RRFR, Inc. Family Members 18 years and older.
 

 

STANDING VOTING RULES:

 

In alliance with our By-laws and the RRFR, Inc Election and Nomination process, elections for Executive Board positions shall be included in the agenda at the RRFR, Inc ‘Family Meeting.’

 

The RRFR, Inc. Parliamentarian along with the Election Review Committee shall serve as “Monitors” during the election and voting process and will be eligible to participate in the voting proceedings.

 

Prior to the voting process, the ‘standing voting rules’ will be read and only ‘Voting Members’ will be allowed to participate.

 

All Voting Members are expected to remain in the voting area until all voting proceedings are completed.  If a Voting Member must leave the room, a ‘Monitor’ must be notified to determine the extent of the absence and return.

 

No tape or other recordings may be made of the proceedings without the expressed approval of the RRFR, Inc Executive Board.

 

Voting members must be recognized by the Chair of the Voting Process to speak or raise issues/motions.  All voting members wishing to speak will be given the opportunity to speak. 

 

The Chair of the Voting Process will determine the time granted for presentations, speeches, and discussions.

 

Voting can occur by raising of hands or ballot as per RRFR, Inc By-laws.  Voting members will determine by motion how voting will proceed.

 

Appropriate ballots will be provided by the RRFR, Inc. Executive Board.

 

Voting Members participating by electronic communications are eligible to vote and will notify the Parliamentarian or members of the Election Review Committee during the Voting Process.

 

Collection and counting of ballots will be governed by the RRFR, Inc. Parliamentarian and the Election Review Committee. (Note: When the Parliamentarian position is to be elected, the Chair of the Voting Process or designee will participate).

 

Results of elections will be verified by the Parliamentarian or designee and provided to the Chair of the Voting Process for announcement to the Family.

 

All records, reports and other voting related material for the permanent record shall be maintained and provided to the RRFR, Inc Secretary.
